📘 BuildHope user guide
Simple, practical instructions for planning, funding, and reporting a school-building campaign.
1. 🚀 Get started
- Select Create Account.
- Enter your name, email, and a strong password.
- After signing in, select New Project.
- Use the project name that your committee and donors recognize.
2. 🏗️ Create a project
Complete the Project Setup Wizard. The most important fields are project name, school name, parish, fundraising goal, currency, current funds, construction percentage, and target completion date.
The system automatically adds starter actions covering marketing, fundraising, construction cost validation, governance, and campaign meetings.
3. 📊 Read the dashboard
The portfolio dashboard shows combined goals, cash, pledges, and funding gaps. Open a project to see its own goal, total commitments, gap, construction percentage, campaign health score, deadlines, and premium workspaces.
The campaign health score is a planning signal—not a guarantee. It uses the data entered in the app and highlights missing pipeline, workstream, and contribution information.
4. 🧭 Use the campaign workspaces
Marketing, fundraising, construction packages, sponsors, grants, events, content, tasks, risks, and volunteers all use the same dependable workflow:
- Open a workspace.
- Select Add.
- Enter the title, category, owner, priority, target amount, actual amount, due date, and notes.
- Save the item.
- Edit, complete, reopen, filter, or delete it later.
Use the Generate 90-Day Strategy button on the project workspace to create a project-specific starting strategy. Review and edit it before using it.
5. 🤝 Manage donors and partners
Open Donor Pipeline. Add alumni, diaspora supporters, corporations, foundations, churches, suppliers, community groups, media, and public-sector partners.
Every important contact should have a relationship owner, pipeline stage, suggested ask, likelihood, next action, and next-action date. Update the record after each meaningful interaction.
6. 💰 Record contributions
Open Contributions and select Record Contribution. Enter donor, amount, currency, type, restriction, date, receipt status, and anonymity preference.
Cash and in-kind entries in the project’s reporting currency automatically update the project totals. Record other currencies for the donor ledger, then update the project’s converted total using your approved finance process.
7. 📁 Upload documents
Upload budgets, estimates, approvals, drawings, grant evidence, policies, photographs, and reports. Add a document owner and dates where appropriate. Downloads are restricted to the signed-in owner of the project.
Do not upload unnecessary personal information, banking credentials, passwords, or highly sensitive student records.
8. 🇯🇲 Learn from 1,000 cases
Filter the case library by category, difficulty, parish, or search words. Use View Only to study a case. Use Save to bookmark it. Use Save As Project to create an editable project containing the scenario’s goal, starter strategy, and priority actions.
Cases are fictionalized learning simulations, not factual reports about named schools.
9. 📄 Reports and public sharing
The Reports centre provides an executive summary, printable report, and CSV exports for contacts, contributions, and campaign items. The Public Progress page can be shared with supporters and displays only selected project progress information.
Review every public update before sharing it. Confirm that figures have been approved and no confidential donor information appears.
10. 🛡️ Security and good practice
- Use a unique password and change temporary credentials immediately.
- Keep production secrets only in environment variables.
- Use HTTPS through your deployment platform or Cloudflare.
- Restrict database and dashboard access to authorized people.
- Back up the database and uploaded documents regularly.
- Have finance, legal, education, construction, and governance professionals review material decisions.
- Do not present projections, case studies, or AI-assisted drafts as verified facts without review.
